Assistant Venue Manager

The Assistant Venue Manager is someone who is responsible for ensuring a high level of service to all users of the building (staff, clients, guests, vendors, etc). The primary duty of this role is to oversee all operations of the venue and be Pinewood’s main contact on the day of the event. This includes the management of all staff, communication with clients and guests, the oversight of all procedures throughout the day, and quick resolution of any problems that may come up.

Job Type: Part Time
Experience: 2 years in events industry (preferred)

Duties/Responsibilities:
-Complete opening/closing checklists on the day of the event
-Work closely with Venue Manager in all aspects related to the day of the event
-Work with the Venue Manager to oversee the management of the cleaning contract, ensuring the highest standards are maintained throughout the building
-Introduce yourself to your client and let them know you are there to help with anything throughout the day
-Work with vendors and show them around their respective areas
-Notify owners of any building maintenance issues
-Work with day of coordinator to answer any questions about Pinewood
-Welcome guests and direct them as needed
-Identify and quickly resolve problems that may arise the day of while maintaining a stress free situation.
-Publicly represent Pinewood in a prepared and professional manner.

Required Qualifications:
-Hard working can-do attitude
-Outgoing, positive attitude
-Desire to learn and grow in the event space industry with a focus on weddings
-Ability to work independently, solving problems as they arise with no supervision
-Weekend availability
-Ability to work 10+ hours on wedding days
-Kind hearted, happy person!

Working days: Friday/Saturday/Some Weekdays
Hours per week: Between 0-18

Day of Coordinator

Our Day of Coordinator is responsible for orchestrating the logistics of the wedding day with the bride and groom to ensure that everything runs smoothly. Unlike a wedding planner who is in charge of all design/vision and vendor selection throughout the wedding planning process, a Day of Coordinator focuses only on wedding day assistance and timeline execution for the bride and groom. Prior to the wedding, the coordinator is responsible for conducting a phone call with the bride and groom reviewing the timeline, vendors, setup plan, table layout, and other details for the day. On the day of the wedding some of their responsibilities are to adhere to the timeline, coordinate with vendors on behalf of the bride and groom, organize bridal party and family, and act as the main point of contact for the event.

Job Type: Part Time
Experience: minimum 1 year in events industry (required)

Duties/Responsibilities:

-Conduct a phone call with the bride and groom prior to the wedding to discuss details
-Gather all vendor information
-Act as main point of contact for bride and groom
-Maintain day of timelines including but not limited to: lining up ceremony and assisting in reception timelines
-Coordinate with vendors to be the voice of the bride and groom
-Work with family, friends, and vendors throughout the day answering  questions or helping with set-up
-Serve as point of contact for any issues that may arise the day of
-May need to run rehearsal prior to the wedding day
-The primary goal for this position is to continually help to alleviate stress for the couple, guests, and vendors throughout the wedding day.
-To publicly represent Pinewood in a knowledgable and professional manner

Required Qualifications:
-Outgoing, positive attitude
-Desire to learn and grow in the wedding business
-Ability to work independently, solving problems as they arise with little supervision
-Ability to prevent stressful situations and if they do occur quickly defuse the situation
-Weekend availability
-Ability to work 8+ hours on wedding days
-Kind hearted, happy person!

Events Intern

The main role of the Events Intern is to help the Venue Manager or Assistant Venue Manager on the day of an event with all tasks and responsibilities.

Job Type: Part Time
Experience: No experience required   

Duties/Responsibilities:
-Act in a professional manner as part of the Pinewood team
-Work closely with Day of Coordinator and Venue Manager helping with all aspects throughout the day of the event.
-Other duties as assigned
